Warehouse
The Warehouse module is where you manage the physical spaces your company uses to store and stage inventory — from setting up your facility's layout to tracking items coming in and shipments going out.
Facilities & Locations
Click Facilities in the left sidebar (under Warehouse) to manage your physical locations. This is the starting point for the entire module — every storage area and floor plan lives inside a facility.

⚠️ New to ShowBase? This list will be empty at first. You need to create at least one facility before you can set up storage areas or assign inventory locations — this is the missing piece referenced in the Inventory article.
Click + Add Facility to create one. Fill in the Name, Address, Primary Contact, Time Zone, and the Warehouse Dimensions (Length, Width, and Height in feet) — ShowBase automatically calculates the total floor area from these.


💡 Tip: Take a few extra minutes to enter accurate dimensions here — this is what powers the Space Utilization floor plan in the next section. Rough estimates now mean an inaccurate floor plan later.
Space Utilization
Click Space Utilization to see how your facility's space is actually being used. This page has two views:
- Statistics: gives you a quick numeric breakdown: Total Used, Storage Areas, Build Space (active), Excluded Areas, and Free Space — plus a visual bar showing the percentage split between them, and a storage-by-area breakdown (e.g., how full each rack is).
- Floor Plan: gives you a visual, top-down layout of the facility. Use the View date field to see how the space looked (or is booked) on a specific day — useful for planning around overlapping shows.




🔗 This connects directly to Inventory: once a Storage Area exists here, it becomes available as an assignable location when editing an item's detail page in the Inventory module.
💡 Tip: Mapping out Excluded Areas (docks, offices, walkways) isn't just bookkeeping — it keeps your Free Space number in Statistics accurate, so you don't accidentally think you have more usable storage than you really do.
Receiving
Click Receiving to log inventory coming into the warehouse. When empty, it shows "No receiving events" — click + New Event to log one.

Select a Source (e.g., "Return From Show"), optionally link a Project ID if this shipment is tied to a specific project, and add any Notes. Click Create to log the event.

Once created, the event appears under the Inbound tab until it's fully processed, then moves to Received.
💡 Tip: Logging every return from a show — even routine ones — creates a paper trail that makes it much easier to track down a missing item later ("did it come back damaged, or was it never sent out?").
Shipments
Click Shipments to manage inventory going out. When empty, it shows "No shipments" — click + New Shipment to start one.

Enter the Project ID this shipment is for, then click Create. The shipment will appear under Staging while it's being packed, then move to In Transit once it leaves the warehouse, and finally Delivered once it arrives.

💡 Tip: Use the All Statuses filter to quickly check what's currently staged versus already on the road — especially useful during busy weeks with multiple shows shipping out at once.
